Account Roles & Permissions
Swordfish Team accounts have three distinct roles, each with different access levels:
Account Master
The Account Master is the primary account owner and has full administrative control. Only the Account Master can:
- Manage billing — change payment methods, manage subscription details
- Manage team members — Add, remove, and modify user permissions
- Access account settings — Change account information, integrations, API keys
- View team activity — See reports and usage across the entire team
- Manage account features — Enable/disable features, configure integrations
There is typically one Account Master per workspace. If you need to transfer Account Master privileges to another user, contact support@swordfish.ai.
Master Privileged
Master Privileged users have team management capabilities but cannot access billing or account-level settings.
Master Privileged users can:
- Add team members — Invite new users to the workspace by email
- Remove team members — Revoke access immediately
- Modify user permissions — Change roles between Member and Master Privileged
- View team activity — See usage and activity reports
Use case: Hiring managers or team leads who need to manage recruiting/sales team membership without financial access.
Member
Members are standard workspace users with access to all Swordfish tools and features based on the subscription plan.
Members can:
- Use all Swordfish tools — Chrome Extension, Prospector, Reverse Lookup, File Upload, integrations, API (if on appropriate plan)
- Search and reveal contacts — Unlimited searches and data unlocks
- Use shared resources — Access enriched data and lists created by other team members
- View their own activity — See their personal usage and history
Members cannot:
- Manage other users or permissions
- Access billing or payment information
- Change account settings
- View other members' detailed activity
Adding Team Members
Only Account Master or Master Privileged users can add team members.
To add a team member:
- Go to Team Settings in your Swordfish account
- Click Add Team Member
- Enter the person's email address
- Select their role: Member or Master Privileged
- Send the invitation
The new user will receive an email invitation to join your Swordfish workspace. Once they accept, they'll have immediate access based on their assigned role.
Removing Team Members
Only Account Master or Master Privileged users can remove team members.
To remove a team member:
- Go to Team Settings
- Find the user you want to remove
- Click Remove
- Their access is revoked immediately
Once removed, they'll no longer have access to your Swordfish workspace or any shared data.
Changing User Permissions
Only Account Master or Master Privileged users can change permissions.
To change a user's role:
- Go to Team Settings
- Find the user whose permissions you want to change
- Select the new role: Member or Master Privileged
- Save changes
Changes take effect immediately.
Team Billing
How Billing Works for Teams
Billing is per workspace, not per user. You pay for a plan tier based on your team size:
- Up to 5 users: $599/month or $299/month (annual)
- 6-10 users: $299/month or $149/month (annual)
- 11+ users: Custom pricing
One subscription covers your entire team. Add 5 users or 10 users—you pay for the tier you choose, not per person. If your team grows from 5 to 6 people, your subscription tier changes to the 6-10 user plan.
Viewing Billing & Invoices
Only the Account Master can access billing information.
To view billing:
- Go to Billing or Account Settings
- View your current plan, invoices, and payment method
- Download invoices as needed
If team members need billing information, the Account Master should share it with them or contact support@swordfish.ai.
Team Activity & Reporting
What Can Each Role See?
Account Master & Master Privileged:
- Team-wide usage reports
- Individual member activity and search history
- Integration and API usage
Members:
- Their own search and usage history only
- Shared lists and data created by teammates
Transferring Account Master Privileges
If you need to transfer Account Master privileges to another user, email support@swordfish.ai with:
- Your current account email
- The email of the user who should become the new Account Master
- Confirmation that both parties agree to the transfer
Our support team will process the transfer and send confirmation to both users. Only one Account Master per workspace is permitted.
Frequently Asked Questions
Can I have multiple Account Masters?
No. Each workspace has one Account Master. If you need to share account management duties, promote users to Master Privileged instead—they can manage team members and view activity without accessing billing.
What if a team member leaves?
Simply remove them from Team Settings. Their access is revoked immediately and they can no longer see any workspace data.
Can Members promote themselves or others?
No. Only Account Master or Master Privileged users can change roles or add/remove team members.
What happens to data when a user is removed?
Their personal search history is retained for reporting purposes, but they lose access to the workspace. Any data they've shared with the team remains available to other team members.
Can I see what other team members are searching?
If you're the Account Master or Master Privileged, yes—you have access to team activity reports. Regular Members can only see their own activity.
How do integrations work with teams?
Integrations (CRM, ATS, API) are set up at the account level by the Account Master. All team members with appropriate permissions can use the integrations, but only the Account Master can add, remove, or reconfigure them.
